Every search begins with a confidential, comprehensive intake designed to help us understand the position, household environment, responsibilities, schedule, service expectations and preferred working style. Each search is approached individually because the right estate manager must fit not only the role, but also the rhythm and culture of the household.

Each prospective estate manager undergoes a thoughtful, multi-stage evaluation. This may include detailed interviews, professional reference verification, employment-history review, assessment of relevant estate-management experience and evaluation of judgment, communication style, discretion and service orientation. Background screening may also be coordinated with the candidate’s authorization and in accordance with applicable law. Final hiring decisions always remain with the client.

Our proprietary Standards of Excellence training introduces selected estate managers to the principles, systems and service expectations required within a thoughtfully managed private residence. Training may address preventative estate care, vendor and maintenance coordination, household documentation, arrival and departure preparation, inventory oversight, confidentiality, professional boundaries, anticipatory service, communication protocols and the discreet handling of sensitive household information.
The program also emphasizes the less tangible qualities that distinguish exceptional private service: sound judgment, situational awareness, emotional intelligence, resourcefulness and the ability to remain composed while quietly resolving challenges behind the scenes.
Training is tailored to the needs of the placement and may be offered during the estate manager’s initial two-to-four-week onboarding period. It is an optional enhancement available according to the client’s preference and the candidate’s experience—not a substitute for household-specific direction or the client’s responsibilities as the employer.

No. Training is offered based on the client’s preference, the requirements of the residence and the selected candidate’s existing experience. Some accomplished estate managers may benefit primarily from household-specific orientation, while others may receive more focused guidance in Coastal Peace of Mind’s service standards and operational systems. The purpose is to support a confident transition without imposing a one-size-fits-all program.

Timelines vary according to the scope of the position, compensation, schedule, location and specificity of the household’s requirements. Our priority is to identify a genuinely aligned long-term fit rather than rush the household into a placement. Following the initial consultation and completed intake, we establish the search criteria and provide a clearer expectation for the search based on the individual role.

Discretion is central to every placement. Household information is shared only as necessary to evaluate and prepare appropriate candidates, and sensitive details are handled with care throughout the process. Candidates are expected to demonstrate a clear understanding of confidentiality, professional boundaries and the trust required when working within a private residence. Additional confidentiality or nondisclosure documentation may also be incorporated when appropriate.

Our involvement does not necessarily end when an offer is accepted. Depending on the placement, Coastal Peace of Mind may assist with onboarding, clarify service expectations, offer optional hands-on training and provide structured support during the introductory period. This helps establish clear communication, address early questions and give both the household and estate manager a stronger foundation for a successful working relationship.

The client directly employs the selected estate manager and remains responsible for compensation, payroll, scheduling, benefits, insurance, performance management and compliance with applicable employment laws. Coastal Peace of Mind serves as the placement, training and advisory partner; we are not the estate manager’s employer and do not control the ongoing employment relationship.

The process begins with our confidential placement intake, through which you may share the needs of your residence, the scope of the position and the qualities you value most in an estate manager. After reviewing your responses, we will arrange any necessary follow-up conversation, refine the search criteria and provide the placement terms for your review before formally beginning the search.

Each private search begins with a nonrefundable $2,500 engagement fee, followed by a placement fee equal to 20% of the selected candidate’s projected first-year gross cash compensation upon hire. This structure reflects the highly individualized nature of our search, comprehensive vetting and matching process, and the personalized placement support available throughout onboarding. Complete terms are provided privately before the search begins.

Our placement process is designed to support a thoughtful, lasting match; however, no employment relationship can be guaranteed. Eligible placements include a limited replacement-search benefit during the introductory period, subject to the terms of the Client Placement Agreement. Coastal Peace of Mind may also provide structured early support to help clarify expectations, address transitional concerns and give both the client and estate manager the strongest possible foundation for success.
