Frequently Asked Questions
-
A butler focuses on personal service, dining, entertaining and guest care. A house manager oversees the daily operation of a residence, including staff, vendors and household routines. An estate manager typically manages broader responsibilities across larger or multiple properties, including budgets, projects and staff leadership. Some households benefit from a blended role.
-
We begin by understanding your residence, lifestyle, existing staff and priorities. From there, we help define the responsibilities and recommend the level of support best suited to your household.
-
We look for relevant private-service experience aligned with the responsibilities of your household. Depending on the role, this may include managing residences, leading household staff, overseeing vendors, coordinating budgets and projects, or providing refined personal and guest service.
Beyond experience, we evaluate judgment, discretion, initiative, communication and the ability to lead with both confidence and respect. Strong references and a demonstrated understanding of professional boundaries are essential considerations.
-
Our proprietary Standards of Excellence training introduces selected estate managers to the principles, systems and service expectations required within a thoughtfully managed private residence. Training may address preventative estate care, vendor and maintenance coordination, household documentation, arrival and departure preparation, inventory oversight, confidentiality, professional boundaries, anticipatory service, communication protocols and the discreet handling of sensitive household information.
The program also emphasizes the less tangible qualities that distinguish exceptional private service: sound judgment, situational awareness, emotional intelligence, resourcefulness and the ability to remain composed while quietly resolving challenges behind the scenes.
Training is tailored to the needs of the placement and may be offered during the estate manager’s initial two-to-four-week onboarding period. It is an optional enhancement available according to the client’s preference and the candidate’s experience—not a substitute for household-specific direction or the client’s responsibilities as the employer.
-
Yes. Some households benefit from a blended role combining personal and guest service, daily household management, and personal assistance. The right arrangement depends on the residence, service expectations, schedule and candidate’s experience.
We help define clear priorities and a realistic scope so one professional can deliver consistently without competing responsibilities compromising the quality of care. Larger households or more demanding schedules may require separate positions.
-
Timelines vary according to the scope of the position, compensation, schedule, location and specificity of the household’s requirements. Our priority is to identify a genuinely aligned long-term fit rather than rush the household into a placement. Following the initial consultation and completed intake, we establish the search criteria and provide a clearer expectation for the search based on the individual role.
-
When managing your home begins to take time away from enjoying it. Whether you are coordinating multiple vendors, overseeing household staff, dividing your time between residences or repeatedly following up on unfinished tasks, professional support brings structure and a trusted point of accountability. You do not need a large estate or a full-time team, just support tailored to your household and the way you live.
-
Hiring for a private residence requires a different level of discernment than hiring for a traditional workplace. Professional experience matters, but truly exemplary household staff must also demonstrate discretion, emotional intelligence, sound judgment, adaptability, anticipatory service and an intuitive understanding of professional boundaries.
Coastal Peace of Mind’s foundation in hands-on private estate management gives us firsthand insight into how exceptional residences operate and what household professionals must be capable of managing behind the scenes. We evaluate candidates not only by what appears on a résumé, but by how they communicate, solve problems, exercise discretion and integrate into the individual rhythm and culture of a home.
This operational perspective allows us to identify accomplished professionals who are not simply qualified for the position, but genuinely suited to the household they will serve.
-
Discretion is central to every placement. Household information is shared only as necessary to evaluate and prepare appropriate candidates, and sensitive details are handled with care throughout the process. Candidates are expected to demonstrate a clear understanding of confidentiality, professional boundaries and the trust required when working within a private residence. Additional confidentiality or nondisclosure documentation may also be incorporated when appropriate.
-
Yes. Temporary and seasonal placements may be arranged for extended stays, household transitions, special occasions, employee leave, peak seasons or other short-term needs. Availability and placement terms depend on the role, schedule, location and duration of the assignment.
-
Depending on the placement, Coastal Peace of Mind may assist with onboarding, clarify service expectations, provide optional hands-on training and offer structured support during the introductory period. This helps establish communication, address early questions and create a stronger foundation for a successful working relationship.
-
The client directly employs the selected professional and remains responsible for compensation, payroll, scheduling, benefits, insurance, performance management and compliance with applicable employment laws.
Coastal Peace of Mind serves as the placement, training and advisory partner. We are not the household professional’s employer and do not control the ongoing employment relationship.
-
Placement fees vary according to the scope and complexity of the search. Permanent placements are assessed at 18% of projected first-year gross cash compensation, while executive and specialty placements are assessed at 20%. Temporary and seasonal staffing is assessed at 30% of anticipated assignment compensation. Permanent and executive or specialty searches begin with a nonrefundable $250 search engagement, which is credited toward the final placement fee. Complete terms are provided privately before the search begins.
-
Our placement process is designed to create a thoughtful, lasting match; however, no employment relationship can be guaranteed. Permanent and executive or specialty placements include six months of placement support, during which Coastal Peace of Mind may help clarify expectations, address transitional concerns and support the household through the working relationship. The specific scope and terms of this support are outlined in the Client Placement Agreement.
